Files smaller, more useful and efficient than spreadsheets


The Investor Relations office of one of the largest European commercial banks used multiple spreadsheets to track information on shareholders and analysts. As the size of the bank's investor base, the rate of change in shareholdings and the sophistication of the targeting and contact management requirements was increasing, the manageability of the spreadsheet-based solution decreased.

Challenges:

The requirements were outgrowing the capabilities of a spreadsheet-based solution, but building a database solution would introduce costs and complexities that users were trying to avoid.

  • size/portability of spreadsheet files- some were exceeding 10 MB...too big to e-mail
  • multi-step queries to find key contacts were taking hours to perform
  • files had had multiple owners over time- introducing many data quality and consistency issues
  • need to merge up-dated data on the investor base changes with contact history data
  • need to add information on geographical location to help plan "roadshows'
  • desire to use a relatively simple, file-based, end-user tool, rather than create a database
